Assistant_Part Time – Saadah

Acted has been present in Yemen since early 2012 and has been anchored to the
governorates of Ibb, Hudaydah, Raymah, AlDhalee, Saadah, AlJawf, Aden, Dhamar
and Marib.
Through its comprehensive programming, Acted has been covering the full
continuum of emergency, rehabilitation and development in Yemen. Emergency
activities have focused in the sectors of Agriculture and food Security (e.g.
distribution of crop seeds, and livestock), Economic Recovery and Market
Systems (e.g. income-generating activities such as cash for work), and WASH
(e.g. rehabilitation of water supply facilities, hygiene promotion). Acted’s
food security activities include the distribution of food vouchers, which are a
key component of Acted’s interventions in the country.

DUTIES AND RESPONSIBILITIES
RESPONSIBILITIES
- Provide
assistance as required on Day to day liaison with Government counterparts
of the project at national and support to local level and program team.
- Assist
in collecting information, data and documents relevant to specific
activities and liaise with reporting and project development department in
completing all required paperwork under the government’s regulation
- Provide
support in organizing meetings and consultation workshops under the
project with the government’s counterpart should requested
- Provide
assistance to ensure compilation of the project agreement(s),
sub-agreements and relevant work permits and travel permits submitted and
obtained from the government authorities
- Maintain
a detailed and up to date Data Base and other records/information as
reference point for administrative and liaison purpose
- Assist
in the processing of administrative issue and ensure a good filling system
for all files and documents both hard and soft copy; and
- Assist
in liaising with government authorities, community groups, NGOs to better
plan and coordinate base activities in the base
- Participate
in attending regular meetings with the relevant stakeholders and local
authorities at the governorate level as requested by coordination;
- Liaise
and communicate with other Acted bases as needed;
- Assist
in obtaining movement and program implementation clearances from local
authorities at governorate.
Security Duties
- Help
in supervision of guards as follows: Authorize change of shifts, verify
attendances/absences of security personnel and record; conducting physical
security inspections of facilities/WHs and vehicles, if possible
background checks, and entry control;
- Ensure
updates of the security situation; Ensure a regular safety and security
and established standards and procedures are followed;
Other Duties
- When
needed attend internal meetings and share minutes and output of meeting
& requirements of base to area office on time;
- Assist
in maintaining strong communication with departments and in terms of
implementation of system, procedures and programs;
- Consider
safety and security in the field as a focal point, and immediately report
all incidents Liaison Manager, Operations Officer and Capital Security
Focal Point
General:
- Commit
to the humanitarian principles of strict humanity, neutrality, impartiality
and independence.
- Maintain
the confidentiality of internal ACTED materials, procedures, and
information and only disclose such with the written approval of
management.
- Respect
time, including work, meetings, deadlines, and other reasonable requests.
- Maintain
a good team spirit amongst staff and colleagues.
- Commit
to honest, high-quality work in all aspects of responsibilities.
- Undertake
any other tasks as reasonably assigned by supervisors.
QUALIFICATIONS AND EXPERIENCE
- University
degree in a relevant field;
- At
least two years of experience in a similar position, preferably with an
INGO;
- Good
command of English and Arabic - both speaking and writing;
- Experience
in translating official documents and drafting official letters and
communications;
- Excellent
interpersonal skills required, as well as the ability to communicate
clearly and efficiently with authorities and stakeholders;
- Ability
to manage multiple tasks and responsibilities, and work efficiently under
pressure;
- Flexible,
with the ability to cope with stressful situations.
- Priority
for former ACTED staff.
