Warehouse Manager

Médecins Sans Frontières Belgium in Yemen mission is looking
for Yemeni nationals to recruit for the Warehouse Manager position:
Location: Coordination Office - Aden
Contract Duration – 1 year renewable
Contract type: Fixed – Term
Reporting to: Supply Chain Coordinator /Supply Chain Team Leader
MAIN PURPOSE
Defining, coordinating and monitoring all Warehouse and
Stock Management activities in the mission according to MSF protocols,
standards and procedures in order to ensure an optimal running of the mission.
Accountabilities
- In
collaboration with the Supply Chain Team Leader defining the Warehouse and
Stock Management activities and planning the annual budget in order to
identify and optimize the response to the needs of the mission and the
targeted population.
- Monitoring
the implementation of the Warehouse and Stock Management activities,
following up of the medical and logistics stocks, ensuring compliance with
MSF standards, protocols and procedures, and reporting to the line manager
on the development of the ongoing programmes. This can include the
following:
- Ensuring
all equipment and premises are adapted to the proper storage of goods in
compliance with the customer's requirements and Good Distribution
Practices.
- Ensuring
that physical and administrative management of the products inside the
warehouse are properly managed in conjunction with the owners of the
stocks (SOPs, flow management, IS warehousing tool, inventories…).
- Ensuring
the safety and the security for goods and people inside and outside the
premises under his/her responsibility.
- Analyzing
monthly/quarterly warehouse data, identifying problems, and proposing
solutions to line manager, owners of stocks and pharmacist.
- In
collaboration with the HR Coordinator, participating in the planning and
implementation of HR associated processes (recruitment, training,
briefing/debriefing, evaluation, detection of potential, development and
communication) of the staff under his/her responsibility in order to
ensure both the sizing and the amount of knowledge required to correctly
perform all supply activities pertaining to his area.
- Ensuring
technical support for his area of activity and providing coaching to staff
under his/her responsibility. Managing his team and elaborating their
activities planning (Warehouse supervisor, storekeepers and log-helpers.)
- Participating
in monthly reports according to guidelines.
- Performing
delegated tasks according to his her speciality and as specified in
his/her job description.
MSF Section/Context Specifics
- Manage
day-to-day operations of the central warehouse in Aden, covering medical,
logistical & Eprep stock stocks in line with MSF procedures and
quality standards.
- Ensure
proper storage conditions, stock organization, labelling, zoning, and
handling of all items, including cold chain and temperature-sensitive
products.
- Oversee
the use of Unifield to record and track all stock movements and ensure
timely and accurate data entry for complete traceability.
- Work
in close coordination with the Mission Pharmacist to monitor and report on
overstock, sleeping stock, and short-expiry items; initiate actions to
reduce wastage and support rational stock use.
- Actively
contribute to order calculations and forecasting and ensure respect of the
order chronogram for timely replenishment.
- Supervise
warehouse staff (supervisors, storekeepers, daily workers), including task
planning, performance monitoring, and on-the-job training to strengthen
team capacity and ensure backup plan is implemented.
- Optimize
human resources by minimizing the use of daily workers, ensuring efficient
workload distribution and cost-effective staffing.
- Conduct
regular physical inventories, partial inventories and audits; ensure
discrepancies are investigated, documented, and corrected.
- Propose
and implement improvements to warehouse layout, workflows, and processes
to increase efficiency, reduce losses, and align with MSF best practices.
- Maintain
compliance with safety, hygiene, and security protocols, and ensure proper
maintenance of warehouse infrastructure and equipment.
- Prepare
and submit regular reports on stock status, expiry monitoring, stock
movements, and challenges to the line the manager (Supply coordinator/
STL)
- Support
emergency preparedness and rapid response by maintaining and organizing
emergency stocks and being ready to assist in supply-related emergencies.
- Perform
any other related tasks assigned by the Supply Coordinator in line with
the mission’s needs.
Requirements
Education:
- Degree
or diploma in Logistics, Supply Chain Management, Warehouse Management,
Pharmaceutical or a related technical field.
- Relevant
certifications in warehouse or inventory management (e.g., cold chain,
pharmaceutical warehousing, Unifield) are an asset.
Experience:
- Minimum
3 years of experience in warehouse management, preferably in the
humanitarian sector.
- Experience
managing medical stock, including cold chain, short expiries, and
emergency stock.
Skills & Competencies:
- Strong
knowledge of warehouse best practices, including storage, FIFO/FEFO, stock
rotation, labelling, inventory control, and reporting.
- Good
understanding of pharmaceutical stock handling, including short expiries,
cold chain management, and regulatory compliance.
- Proficient
in stock management software, preferably Unifield, and MS Office, Excel is
a must.
- Strong
leadership and people management skills, with experience in organizing
workloads and training teams.
- Ability
to plan, prioritize, and work under pressure, especially in emergency or
rapidly changing contexts.
- High
level of accuracy and attention to detail in stock recording,
documentation, and reporting.
- Strong
problem-solving skills, with ability to identify and address
warehouse-related challenges proactively.
- Good
written and verbal communication skills in English.
