BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The World Food Programme (WFP) is a leading humanitarian
organization dedicated to combating hunger worldwide. In its mission to provide
food assistance during emergencies and work with communities to enhance nutrition
and build resilience, WFP relies on accurate and efficient data management.
The role of prospective will oversees and administrate all assets and IT
equipment’s and services on the technical processes SCOPE equipment’s used on
registration, and distribution, to provide WFP partners and field staff with
needs equipment’s and services. S/he participates in physical inventory,
regular tracking, ensuring the accuracy of asset’ database for further support
on registration scale up and SCOPE rollout.
Key responsibilities:
1- Coordinate all unit’s IT procurement activities with AO
-CO focal point specifically during raising purchase requisitions, tracking
delivery of equipment’s and services, raising service entry sheets to confirm
receipt of goods and services, and ensuring service provider performance
evaluations are done properly.
2- In compliance with relevant rules and procedures, support the related asset
management activities to facilitate WFP end to end processes resulting in a
timely and quality delivery of SCOPE assets in south of Yemen Operation.
3- Maintain accurate and comprehensive records on asset management activities
and provide timely reports and updates both periodically and on request.
4- Provide guidance and advice on relevant policies and procedures to
counterparts and WFP partners.
5- Participate a focal point on different physical inventory activities.
6- Disseminate and promote WFP's global policies, standards, and guidance on
asset management to all stakeholders.
7- Liaise with internal and external stakeholders to ensure reporting lost and
damage assets and processed in accordance with the WFP assets management
policy.
8- Responsible to the annual physical inventory verification exercise by
checking the accuracy of records and the location of the property.
9- Ensure that all SCOPE assets are recorded in GEMS and regularly update the
records.
10-Count and labelling all newly assets with WFP Tags for
all equipment’s upon receipt from the supplier.Update non-expendable property
inventory record and track its movement.
11-Responsible to work with unit manager to prepare the unit annual procurement
plan.
12-Within the specific area of responsibility, prepare and develop technical
and user manuals, trainingmaterials, and standard preventative maintenance for
IT equipment’s.
13-Prepare and conduct trainings/workshops on assets utilization and to build
capacity of relevant WFPpartner in the best storage procedures in the field.
14-Process and manage administrative and financial tasks to contribute to the
effective and timelymanagement of resources including invoice tracking to
ensure timely payment for services procured bythe unit.
15-Assists deploy and/or disseminate standard SCOPE material, such as, computer
hardware and/or software, SCOPE applications, firmware’s, publications,
database content, training material, etc.
Education: Completion of secondary school education.
A post-secondary certificate in the related functional area is desirable.
Experience:
- Minimum
six years of relevant work experience.
Desired Experience:
- Has
experience analysing service management results and development service
enhancement recommendations.
- Has
participated in business process re-engineering efforts and identified
service management improvements.
- Has
experience participating in country office procurement/budgeting process.
Language: Fluency (level C) in English language &
Fluency (level C) in Arabic language.
