Job Title: HR and Admin Assistant
Contract duration: Six Month
Reports To: Finance and Operation Coordinator
Hours: Full-time
Location: Aden
Organization & Background:
READ Foundation is an international NGO,
registered in UK in 1994, With aim of contributing to alleviating the
sufferance of the population of Yemen, Read Foundation established its
operations in Yemen late July 2020. Since its establishment, READ Foundation has
assisted the affected population with lifesaving interventions in different
governorates directly, through local partners and in partnership with local
communities.
Summary:
The position will be based in Aden and will report to the
Finance and Operation Coordinator in Yemen. HR and Admin Assistant will be
responsible for the administrative support related to the HR and Admin for the
Country office and other sub offices.
RESPONSIBILITIES:
Human Resources (HR) Support:
- Assist
with the recruitment process, including posting job advertisements,
scheduling interviews, and maintaining candidate records.
- Support
the onboarding and offboarding processes for employees.
- Maintain
and update employee records, ensuring accuracy and confidentiality.
- Assist
in the administration of HR policies and procedures.
- Support
the coordination of training and development activities.
- Assist
with employee inquiries related to HR matters.
- Support
the preparation of HR-related reports and documentation.
- Assist
with the administration of employee benefits and leave.
- Prepare
and manage employment contracts and extension agreements for fixed-term
staff.
- Prepare
and manage volunteer agreements and extension documents.
- Ensure
all contracts and agreements are in compliance with relevant labor laws
and RFY policies.
- Perform
other HR duties as assigned.
Administrative Support:
- Provide
general administrative and clerical support, including photocopying,
scanning, and filing.
- Manage
office supplies and ensure adequate stock levels.
- Assist
with office maintenance and liaise with vendors for repairs and services.
- Organize
and coordinate meetings, appointments, and travel arrangements.
- Prepare
and edit correspondence, reports, and presentations.
- Maintain
office filing systems, both electronic and physical.
- Assist
with procurement of office equipment and supplies.
- Provide
logistical support for events and workshops.
- Perform
other administrative duties as assigned.
Finances
- Providing
support to Finance as assigned.
REQUIREMENTS
- University
degree in administration or related field
- Excellent
Communication Skills
- 1-3
years’ Experience in HR and Finance
- English
and Arabic language
- Highly
confidential.
- Good
cultural awareness and sensitivity.
- Strong
organizational and team working skills.
- Good
computer skills in MS Office programs, particularly Excel
- Previous
experience working for INGO's is preferable.
- Must
work independently under difficult condition and limited supervision.
- Excellent
communication and interpersonal skills.
- Proficiency
in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
