- JOB
TITLE: Administrative Officer - Mokha
- LOCATION: Mokha
- REPORTING
TO: Area Manager
MAIN DESCRIPTION
The Admin Officer is responsible for ensuring daily
administrative tasks in the Mokha location are undertaking effectively and
efficiently, and the mine action operations teams are properly supported. They
are responsible for managing location HR and administrative matters. The Admin
Officer is expected to have a wide understanding of programme activities and be
able to fill gaps where necessary.
JOB DESCRIPTION
- Support
the Area Manager in leading the location office and guesthouse, ensuring
it functions well.
- Coordinate
with the Programme Coordinator and other departments to ensure effective
administrative support, communication, and coordination across the Mokha
location.
- Maintain
accurate daily attendance records in advance of monthly payroll
processing.
- Ensure
HR documentation including annual leave, disciplinary and training records
are physically and digitally filed.
- Assist
with employee onboarding and end of service processing.
- Monitoring
staff sickness and unauthorised absences and reporting any trends to
senior management.
- Managing
communications with internal and external stakeholders, including
governmental bodies, car rental providers, premises landlords, etc.
- Maintaining
internal administrative systems and documentations in line with HALO
internal and donor policies.
- Ensure
all staff are aware of and follow purchasing and payment procedures,
especially logistics and procurement functions.
- Preparing
contracts and processing payments for suppliers such as water, hotel,
food, handyman and cleaner services.
- Provide
line management for the Mokha Storekeeper and ensure they respond promptly
to reasonable staff needs to the supplies they require.
- Provide
line management for the Mokha drivers and assist the Fleet Officer with
management of efficient driver schedules for the location.
- Provide
line management for the Mokha cook and cleaner, ensure the location is
tidy and clean and that food purchases are done in a timely and appropriate
manner.
- Undertake
additional tasks as required to support operational and administrative
needs of the programme.
REQUIREMENTS – ESSENTIAL
- Bachelor’s
degree in business administration, HR or related field
- Minimum
one years’ experience within administration
- Advanced
spoken and written English
- Excellent
communication, interpersonal and analytical skills with high attention to
detail.
- Strong
computer literacy, with proficiency in Microsoft Office Suite.
- Ability
to work effectively with a team in a culturally diverse environment.
- Knowledge
of office management systems and procedures.
- Excellent
time management skills and ability to multi-task and prioritize work.
