PRESENTATION OF THE ORGANIZATION

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

DESCRIPTION OF THE POSITION 

Goal/Purpose of the Position:

Goal / Purpose:

The logistics Supervisor supports the Logistics Manager in implementing and supervising all logistical activities at his/her assigned base.

In particular, he/she lends support to carrying out urgent activities and the filing and archiving logistical documents.

He/she temporarily takes on the basic tasks of the logistics officer in their absence.

List of main activities:

Management of supplies

  • Update price lists and vendor databases 
  • Control Solidarités International purchase procedures
  • Verify and process quote requests and IOFs
  • Compose and archive purchase folders
  • Implement purchases, monitoring adherence to validation regulations and procedures
  • Negotiate prices, deadlines and methods of delivery
  • Ensure that relationships with suppliers are monitored

Management of vehicle fleet 

  • Assist in the planning and execution of maintenance and repair work on mission vehicles
  • Draw up the vehicle schedule
  • Ensure that a complete breakdown kit is available on board all vehicles
  • Check that vehicle log books are in place and are used correctly
  • Assist in monitoring and consolidating fuel consumption and miles travelled for all vehicles
  • Prevent misappropriation of petrol and spare parts
  • Monitor the administrative documents for all vehicles

Facilities Management

  • Regularly inspect Solidarités International offices and living accommodation to assess what work is necessary
  • Ensure regular maintenance of Solidarités installations/equipment/facilities including electricity (AC) and plumbing
  • Oversee all work on SI premises in Aden (construction, repairs, etc.) ordered by the manager
  • Make propositions for improvements and/or correction of installations/equipment/facilities
  • Make sure enough stock of supplies (hygiene Items, cleaning items and other required supplies) is available
  • Check on a monthly basis emergency stocks and timely prepare request for replenishing as required

Management of equipment/telecommunications

  • Assist in installing and securing materials
  • Assist in monitoring and maintaining materials
  • Organize training sessions in the use of means of communication
  • Organize the installation, safe-guarding and monitoring of materials
  • Update Park Statement (Durable Equipment Inventory) and the responsibility follow up regularly
  • Ensure regular maintenance of equipment, update maintenance and reparation follow up accordingly.
  • Install communication means and ensure that they are regularly maintained
  • Organize training sessions on the use of means of communication
  • Follow up on generator fuel consumption, and organize regular maintenance of the generator

Management and monitoring of IT equipment

  • Update antivirus software
  • Provide teams with adequate means for data backup
  • Ensure the maintenance and correct use of IT equipment

Management of supplies

  • Supervise the maintenance and securing of warehouses
  • Support the logistics officer in carrying out stock checks and physical inventories

Human resource management

  • Assist in the recruitment process and in evaluating the members of the logistical team
  • Establish team schedules in conjunction with the logistics Manager 
  • Ensure or assist with logistical training
  • Make the team of drivers/guards accountable for complying with SI procedures and security regulations.
  • Consult the line manager for any problem raised or caused by a driver/guards

Reporting/Capitalization

  • Update and consolidate regularly Fuel Follow Up, Park Statement, Responsibility Follow Up and Maintenance and Reparation Follow Up for base and pass on to the Logistics Manager every month
  • File and archive all the related logistics documents.

Profile required:- 

  • Bachelor’s degree/Diploma in Logistics/Supply Chain Management or related field. 
  • 3 years of direct work experience in relevant field
  • NGO experience highly appreciated.
  • Strong accounting management experience
  • Logistics & Supply Chain experience
  • Experience in procurement software (like LINK) highly appreciated
  • Strong skills in organization and prioritization to manage important workload. 
  • Good knowledge of Office software: Excel, Word, Power Point, Outlook.
  • Excellent English level (written and spoken)
  • Strong communication skill (written and verbal).
  • Open minded and flexible.
  • Adaptability to new context of intervention/new interlocutors. 
  • Good written skills (reporting). 
  • Organized. 
  • Analytical skills
